WHEN THE QUARTER BUNCHES
When VAT preparation stretches your team
Too many returns landing together?
Hand over agreed preparation work and give your team more room to review and submit.
Client records need sorting before work can begin?
Send the records as received. We organise the evidence and flag gaps that need attention.
Senior staff keep rebuilding the workings?
Give them structured schedules, reconciliations and documented exceptions to review.
Marketplace clients take disproportionate time?
Bring sales reports, settlements, refunds, fees and bank records together in one review-ready pack.
Winning clients faster than you can recruit?
Add preparation capacity by the return, with scope, pricing and turnaround agreed before work begins.

- Records move through the agreed secure process, never as email attachments.
- You receive familiar file formats — nothing new to license or learn.
- Scope, fee and expected turnaround are agreed before any paid work begins.

WHERE WE STOP
Kiaraj prepares. Your accountant reviews and submits.
We prepare the working papers. We do not file VAT returns, act as anyone's HMRC agent, or give tax advice — and we are not a replacement for your practice. The scope boundary is the point of the service, not an apology.

WHAT KIARAJ DOES
Done-for-you production, not another tool.
Most practices already have Xero, Dext and a marketplace connector. What they run short of is the time to do the preparation work those tools still leave behind.
Additional preparation capacity
Take on more VAT work without hiring at the same rate. The preparation stage moves to us; the review and the client stay with you.
Faster, structured preparation
A defined production process rather than an ad-hoc one — the same folder structure, the same reconciliations and the same checks on every job.
Lower preparation-stage workload
Reduce the hours absorbed by organising, extracting and matching records, which is where most of the production cost of a VAT return sits.
Missing-invoice detection
Where the available records allow, we compare bank payments with supporting purchase evidence and flag items that may need an invoice or receipt. We identify gaps and give your team a clear query list; the client relationship, and the chasing, stay with you.
Reconciliations and exception reporting
Structured reconciliations, duplicate checks, formula controls and source references. Anything we cannot settle from the records is raised as an exception rather than assumed.
Fragmented e-commerce records
Amazon, eBay, Shopify, TikTok Shop and Etsy data — settlements, refunds, fees, countries and currencies — is the work we built the process around.
No new software to adopt
Nothing for your team to license, migrate to or learn. You send records and receive files in the formats you already work in.
THE DELIVERABLE
What lands in your accountant's inbox.
A structured pack built to be reviewed quickly and challenged easily. What it contains depends on the records supplied and the complexity of the quarter.

WHERE WE STOP
Deliberately narrow.
The scope boundary is the point of the service, not a limitation we are apologising for. It is what makes Kiaraj safe for a practice to put in front of its own clients.
- We do not submit to HMRC. Your accountant reviews the pack and files the return.
- We do not give tax advice. We prepare and flag; professional judgement stays with the accountant.
- We are not your HMRC agent. We do not ask for, hold or use HMRC credentials.
- We do not replace your accountant. The pack is prepared for them to review, adjust and submit.
WHAT HAPPENS NEXT
From first enquiry to filed return.
Nothing is uploaded, and no records change hands, until a quote is agreed and the engagement is set up.
STEP 01
Short quote form
A few questions about the work. No records, no documents, no upload.
STEP 02
Fixed quote
We agree the scope, the fixed preparation fee and the expected turnaround before work begins. If materially different records are supplied from those described, we stop and agree any scope change before continuing.
STEP 03
Payment
First live jobs are normally paid upfront. Ongoing partners can fund recurring work through a prepaid Partner Balance.
STEP 04
Secure upload
You receive a secure upload link for that engagement. Not email.
STEP 05
Production
Records organised, reconciled and analysed; exceptions documented.
STEP 06
Your review
The pack is delivered securely. Your team reviews, makes any professional adjustments and submits.
Start with a quarter you have already finished.
One completed historical VAT quarter per practice, at no charge, subject to suitability and agreed scope. Scope and conditions are confirmed in writing before any records are transferred. Compare our preparation against a case your team already knows is right, before any live work changes hands.
