Your firm sends the source records

You tell us about the case through the short form, we agree the scope, the fixed preparation fee and the expected turnaround, and then you send the records through a secure, engagement-specific upload link. Whatever the client gave you, in whatever state — we do not ask you to tidy it first.

Nothing is uploaded through this website. Records move only once the scope is agreed.

TYPICAL INPUTS

Bank statements, marketplace reports, purchase invoices, receipts, import VAT evidence and any previous VAT workbook.

NOT BY EMAIL

Large folders of statements and invoices should not travel as email attachments.

Kiaraj reviews and prepares the case

Documents are inventoried and organised, marketplace data is extracted by country and month, purchase evidence is turned into a structured ledger, and payouts are reconciled against the bank. Where relevant we match bank payments to purchase invoices.

AI assists with extraction and structuring. It may suggest; it does not silently decide.

Duplicate checks, marketplace reconciliation, import VAT and reverse-charge items, and prior or later period documents.

CONSISTENTLY APPLIED

One documented foreign-exchange methodology is applied across the quarter and stated in the workbook.

Missing evidence and exceptions are surfaced

Payments without supporting purchase evidence are flagged in a missing-invoice report so your team can chase them. Anything the records do not settle is written up as an exception with a question attached, rather than resolved quietly inside a number.

Your client or your team must still confirm that valid VAT evidence exists and that any VAT is recoverable.

Review-ready VAT workings are prepared

You file under your own agent credentials. Kiaraj holds no HMRC credentials, is not registered as anyone's agent, and does not submit.

Turnaround confirmed per case

Turnaround depends on the complexity of the VAT case and the completeness of the records supplied. We confirm the expected turnaround before processing begins.

Straightforward, complete cases can often move faster than complex or exception-heavy work, but no fixed SLA is published until the case has been reviewed.

    We agree the scope, the fixed preparation fee and the expected turnaround before work begins. If materially different records are supplied from those described, we stop and agree any scope change before continuing.

  3. STEP 03

    Payment

    First live jobs are normally paid upfront. Ongoing partners can fund recurring work through a prepaid Partner Balance.

  4. STEP 04

    Secure upload

    You receive a secure upload link for that engagement. Not email.

  5. STEP 05

    Production

    Records organised, reconciled and analysed; exceptions documented.

    Your review

    The pack is delivered securely. Your team reviews, makes any professional adjustments and submits.

Questions we get asked

Who is responsible for the return?

The accountant who reviews and files it. We prepare working papers for review; we do not make the final professional decisions and we do not submit.

Will you approach our clients?

No. Where we work behind a practice, we will not solicit, market to or accept instructions from that firm's clients. This is set out in the engagement terms agreed before records are transferred.

Does our team have to adopt new software?

No. There is nothing to license, migrate to or learn. You send records through a secure link and receive files in the formats you already work in.

Is a person involved, or is it all automation?

Both. Automation does the extracting, structuring and matching. People handle judgement calls and review the pack before it is released. Ambiguous items are raised as exceptions rather than guessed.

What if the records are incomplete or a mess?

That is the normal case, and it is priced into the tier. We tell you what is missing rather than filling gaps with assumptions, and the missing-invoice report exists precisely for that.

How long does it take?

Turnaround depends on the complexity of the case and whether all required records have been supplied. We confirm the expected turnaround when the case is accepted. If you have a specific deadline, include it when requesting a quote and we will confirm whether we can accommodate it.
