THE SERVICE
VAT preparation for UK accounting practices.
Kiaraj turns your clients' raw VAT records into reconciled, accountant-review-ready working papers — leaving your team to review, approve and submit.
One completed historical case, free · Kiaraj prepares. Your accountant reviews and submits.
WHAT YOU GET
The preparation stage, done for you.
Give the hours back to your reviewers
The organising, extracting and matching moves to us. Your team picks the work up at the review stage, with a query list for anything that needs chasing.
Buy capacity by the return, not by the salary
Buy the production stage per return instead of carrying it as fixed salary cost through quiet quarters.
Identify potentially missing invoices
Where the available records allow, bank payments without supporting purchase evidence are flagged so your team can chase them before the return is finalised.
Handle marketplace complexity
Amazon, eBay, Shopify, TikTok Shop and Etsy records — settlements, refunds, fees, countries and currencies.
Keep the client relationship
The client stays yours. We work behind you and we will not solicit or approach them.
Adopt no new software
Nothing to license, migrate to or train your team on. Records in, files out, in the formats you already use.
Scale only if it earns it
Start with one historical case. Move to a handful of live clients, and grow the portfolio only if the work proves itself.
THE PILOT
Try VAT Preparation Free
Choose one VAT quarter your practice has already completed. Send us the original source records. We prepare the working papers from them and document what we find, so your team can compare our preparation against its own workings and judge the difference.
One completed historical VAT quarter per practice, at no charge, subject to suitability and agreed scope. Scope and conditions are confirmed in writing before any records are transferred.
- 01You choose a completed historical VAT quarter — not a live filing period.
- 02We confirm the quarter is suitable, agree the scope, and confirm the expected turnaround.
- 03You send the original source records for that quarter, by secure link.
- 04We prepare the working papers and document exceptions and queries.
- 05Your team assesses the preparation against its own workings and decides what it thinks.
A historical case, not a live one. The pilot deliberately uses a quarter you have already prepared, accepted and filed. That way you are comparing our output against work you already know is right, and nothing about a live deadline depends on us.
PARTNER PRICING
Per return, + VAT.
Complexity determines the tier. Volume determines the discount. Starting prices below are for 1–5 VAT returns per quarter.
CORE / SIMPLE
For straightforward VAT records with clean source data and limited reconciliation.
STANDARD
For established clients with a broader mix of transactions, documents or reconciliation work.
COMMERCE
For e-commerce and marketplace clients requiring more detailed sales, purchase and platform reconciliation.
ADVANCED COMMERCE
For larger or more complex marketplace clients involving multiple channels, currencies, countries or heavier document workloads.
COMPLEX / ENTERPRISE
For unusually large, fragmented or judgement-heavy VAT workloads requiring extensive reconciliation, exception handling or document analysis.
Accounting firms with recurring portfolios may qualify for volume partner pricing based on total quarterly VAT volume.
Volume partner pricing
Accounting firms with recurring VAT portfolios can access lower per-return pricing based on their total quarterly VAT volume.
Complexity determines the service tier. Portfolio volume determines the partner rate.
Your portfolio does not have to be one type of work. It can contain a mixture of Core, Standard, Commerce, Advanced Commerce and Complex clients. Each VAT return is classified individually according to its complexity, while your total quarterly VAT volume is taken into account when agreeing your partner rate.
- Each VAT return is classified individually by complexity.
- Your total quarterly VAT volume determines the partner rate that applies.
- A mixed portfolio qualifies — the tiers do not have to match.
- Partner rates are agreed in writing before any work begins.
A WORKED EXAMPLE
A practice sending 20 VAT returns in a quarter may have a mixture of Core, Standard, Commerce and Advanced clients. Each return is priced according to its complexity, while the firm's overall quarterly volume is taken into account when agreeing partner pricing.
WHAT SETS THE PRICE
- Transaction volume
- Purchase document volume
- Marketplaces
- Countries
- Currencies
- Record quality
- Reconciliation requirements
- Missing documents
- International VAT complexity
- Manual judgement and exceptions
Turnover is not one of them.
How partner billing works
Start with one historical VAT case free. First live jobs are normally paid upfront. As your relationship with Kiaraj grows, recurring work can be funded through a prepaid Partner Balance, reducing individual invoices and allowing accepted cases to move into production quickly.
Larger established partners may qualify for alternative payment arrangements.
The detail is in our payment FAQs.
Final pricing depends on transaction volume, documents, marketplaces, currencies and complexity. A fixed quote is agreed before processing begins.
TURNAROUND
Turnaround confirmed per case
Turnaround depends on the complexity of the VAT case and the completeness of the records supplied. We confirm the expected turnaround before processing begins.
Straightforward, complete cases can often move faster than complex or exception-heavy work, but no fixed SLA is published until the case has been reviewed.
Have an urgent deadline? Tell us when requesting a quote. We will confirm availability and expected turnaround after reviewing the case.
WHAT AFFECTS IT
- Complexity of the VAT case
- Number of documents
- Marketplaces involved
- Currencies and countries
- Record quality
- Missing evidence
- Reconciliation work required
- Exceptions needing review
- Whether all requested files have been supplied
YOUR CLIENTS
We work behind you.
Kiaraj works for accounting practices only. We do not take instructions from businesses directly, we do not contact your clients, and we do not file — the finished pack goes back to your team, and the relationship stays where it is.
We will not solicit your clients
We will not approach, market to or accept instructions from a client of yours whose records we have seen through your engagement.
The relationship stays yours
Your client deals with you. We deal with your practice.
We never file or advise
The submission and the professional judgement remain entirely with your team.
These commitments will be set out in the engagement terms agreed with your practice before any records are transferred.
EARLY-STAGE HONESTY
Founding partner programme
Kiaraj is new. We are not going to show you testimonials we do not have.
Instead we are working with a small number of practices as founding partners. Each one tests a single completed historical VAT case, compares our pack against their own accepted work, and gives us structured feedback on accuracy, presentation and review time. That feedback shapes the service — and when we do publish results, they will be measured, attributed and real.
COMMON QUESTIONS
Before you send anything.
- Does Kiaraj submit the VAT return?
- No. We prepare the working papers and hand them to your team. Your practice reviews, adjusts anything it disagrees with, and submits under its own agent credentials. We hold no HMRC credentials.
- Do our clients still need us?
- Entirely. We work behind your practice, we do not contact your clients, and the professional relationship and judgement stay with you. Kiaraj replaces preparation hours, not accountants.
- What records can we send?
- Bank statements, marketplace reports, purchase invoices, receipts, import VAT evidence and any previous VAT workbook — in whatever state the client supplied them. We do not ask you to tidy them first.
- How is the price determined?
- Complexity determines the service tier and your quarterly portfolio volume determines the partner discount. Your fixed quote is based on transaction volume, document volume, marketplaces and countries, record quality, and reconciliation complexity.
- How long does preparation take?
- Turnaround depends on the complexity of the case and whether all required records have been supplied. We confirm the expected turnaround when the case is accepted. If you have a specific deadline, include it when requesting a quote and we will confirm whether we can accommodate it.
- What happens if records are missing?
- We flag them rather than fill the gap. Payments without supporting purchase evidence appear in a missing-invoice report, and anything the records do not settle goes into the exceptions report as a question for your team.
- How are files transferred?
- Through a secure, engagement-specific upload link issued after scope is agreed — not by email attachment. The finished pack comes back through the same channel.
- What is included in the introductory offer?
- One completed historical VAT quarter per practice, reproduced free of charge. It is deliberately a quarter you have already prepared and accepted, so no live deadline depends on it, and no payment card is required.
Pick a quarter you have already finished.
We will reproduce the preparation, at our cost, so you can compare it against a job you already know is right.
